The Ministry of Health (MOH) required a website that would streamline the process of application submissions for the "Celebrating Innovations in Health Care Expo" and then support online event registration as a second stage. For the first stage, MOH and their public relations partner, Strategic Objectives, set clear criteria for Innovasium. They required an user-friendly submission process that would catalog the submissions as they were received. They could then be processed and sorted based on association with an automatic response and submission acknowledgement being sent to the applicant. The Ministry's PR firm Strategic Objectives managed the execution of the project with Innovasium delivering the custom workflow technology for the website. The Expo also required a second application for secure online event registration and payment including: registration form, workshop selection form, workshop capacity, form field validation, database storage of registrants, credit card payment, thank you for registering message and the ability to print a copy of registration. The third phase, a "Knowledge Transfer" website, will be launched in July. This website will deliver abstracts, video and images summarizing the conference. Participants can also review all the papers from the conference and sign up to be notified for next year's conference. |
The submission process allowed potential presenters the opportunity to submit their "innovation stories" easily in one of five different categories. Online submission eliminated the often tedious process of printing and couriering entries. Entries were automatically sorted into categories upon receipt so that judges could easily compare entries. Acknowledgment of entry receipt and notice of acceptance was expedited resulting in clear communication to the prospective presenter. Using Innovasium's Event management System, coupled with Innovasium Merchant e-commerce software, registrants were able to easily register for their preferred workshops and pay for their registration online. They received immediate feedback if they registered for a workshop that was already full. They also received a confirmation once registered with the opportunity to print their workshop selection. |
The online submission process and subsequent registration was executed flawlessly. Over 300 submissions were received in six different categories. The registration site saw over 1200 attendees register online. During the three weeks prior to the Expo, the site saw an average of 135 people register each day. Registration was monitored and registrants were sorted a variety of ways by the administrator. Room capacity and areas of interest were instantly up-dated so room capacity could be managed and rooms reassigned as tallies changed. An added benefit allowed administrators to see registrants preferred areas of interest providing insight into categories to focus on in 2008. |
